Credit and revise fixed invoices

In this article, we explain the steps to credit and revise fixed invoices, including how to manage back-dated rate changes.

You can credit and revise fixed invoices. This allows you to amend invoice rates and add additional fixed invoices from different service funders. When you revise a fixed invoice, any back-dated changes automatically create the associated credits needed to re-invoice at the amended rate.

⚠️ Important: The Invoice Crediting module and function must be enabled by the support team before you can revise fixed invoices.

Revise invoice

To revise a fixed invoice, follow these simple steps.

  1. Click Service User, then click Service User.

  2. Click Find, then select the relevant service user.

  3. Select the Service Funder tab, then select the relevant service funder.

  4. Select the Fixed Invoices tab, then open the relevant invoice.

  5. Click More, then click Revise Fixed Invoice.

  6. Enter the start date that is after the original start date.

  7. Make the relevant changes, then click Save.

πŸ€“Tip: You can view the original invoice value and revised invoice value on the right side of the screen to check your changes.

Additional fixed invoices

When revising a fixed invoice, you can add additional fixed invoices for different service funders.

  1. Click Service User, then click Service User.

  2. Click Find, then select the relevant service user.

  3. Select the Service Funder tab, then select the relevant service funder.

  4. Select the Fixed Invoices tab, then open the relevant invoice.

  5. Click More, then click Revise Fixed Invoice.

  6. Select the Additional Invoices tab.

  7. Click Add new, then add the start date.

  8. From the Service Funder dropdown, select the relevant service funder.

  9. Enter the fixed invoice details, then click Save.

  10. Review the warning message about automatic crediting.

  11. Click Save in the pop-up window.

All additional fixed invoices you create during the revision appear in the Additional Invoices tab. After you complete the revision, they'll appear on the fixed invoice screen.

⚠️ Warning: Any accepted invoices dated after the start of the fixed invoice revision will be credited automatically when you save.

After you save, the system creates the fixed invoices for the selected service funders and any related credits.

Automatic updates

When you revise a fixed invoice:

  • If the previous fixed invoice had no end date, an end date is automatically added as the day before the start date of the new revised fixed invoice.

  • If the revision occurs during a period with an accepted status, the fixed invoice is automatically credited.

Review and confirm changes

After the automatic crediting process, follow these steps.

  1. Click Finance, then click Invoice.

  2. Click Management.

  3. Check for invoice runs with an Update? status.

  4. Select the relevant invoice run, select the Credit tab.

  5. Generate the credit PDF to see what will be credited for the service funder.

  6. Click the Update? status to confirm the changes.

After you run the invoice update, the values are updated based on the revised fixed invoice.
