Absence type mapping
Absence types in PeopleXD are mapped to Unavailability Types in Access Care Rostering. By default, the Absence Type Description is used for the mapping. If the description in PeopleXD does not match the Unavailability Type in Access Care Rostering, an Alternate Description can be entered against the absence pay code in PeopleXD to override the default mapping.
Live absence calculation
When the Live Absence Calculation setting is enabled in PeopleXD, absence hours are recalculated each time the absence screen is loaded. This means that if a Manager or Admin amends the work pattern for the day(s) in the absence period, the absence hours update to reflect the changes.
Default work schedules
Rostered employees assigned to a default work schedule, rather than a rest pattern, are handled as follows by the interface:
If shifts are allocated to the employee in Access Care Rostering, the interface passes the full week of shift hours.
If no shifts are allocated, the interface upholds the default work schedule pattern.
📌Note: For variable workers, the government recommendation is that qualifying days are based on the days the employee is contracted to work. This should be taken into consideration when configuring default work schedules.
Do Not Override Manual Shift Changes
If the Do Not Override Manual Shift Changes setting is enabled in PeopleXD, and a Manager or Admin has amended the shift pattern for specific day(s) via the Team Scheduler or the Weekly Work Schedule, PeopleXD ignores the hours passed back from Access Care Rostering for those manually amended days, even though the hours are still sent.
Fall Back Rest Pattern and Fall Back Work Pattern
Two exceptions apply when hours are received from Access Care Rostering:
If 0 hours are received for a day from Access Care Rostering, the pattern updates to the Fall Back Rest Pattern.
If the default pattern for a day is a Rest Day and hours are received for that day from Access Care Rostering, the pattern updates to the Fall Back Work Pattern.
Access Care Rostering configuration
Availability type configuration
Unavailability Types must be created in Access Care Rostering to match the Absence Type Descriptions (or Alternate Descriptions) configured in PeopleXD.
To create an Unavailability Type, configure the following fields:

Unavailability types for multi-contract employees
Multi-contract employees are not interfaced, so their absence and unavailability must be entered manually in PeopleXD and Access Care Rostering, respectively. If multi-contract employees share the same absence types as rostered employees, additional Unavailability Types with different descriptions may be needed in Access Care Rostering to distinguish them.
For example:
Holiday — mapped to PeopleXD for interfaced rostered employees.
Holiday (MC) — used in Access Care Rostering for multi-contract employees.
Overriding unavailability
Overriding unavailability is disabled in Access Care Rostering for interfaced employees. If the start or end date of an absence needs to be modified before the shift starts, the Manager or Admin must update the absence record in PeopleXD or Access Care Rostering directly.
Exclude shift hours configuration
Service Type Settings in Access Care Rostering include options to control which shift hours are sent back to PXD during an absence period:
Exclude Hours During Absence — When checked, shift hours that fall within the absence period are excluded for the specified service type. This is used for SSP/OSP exclusions.
Exclude Hours Outside Absence — when checked, shift hours that fall outside the absence period are excluded for the specified service type. This is used for overtime shifts.
⚠️Important: If both Exclude Hours During Absence and Exclude Hours Outside Absence are checked for a service type, hours will never be sent back to PeopleXD for that service type.
