Set up users for the Care Employee mobile app

Employees will need a login for the app. This is set up through Access Care Rostering. You can set up login credentials by either username or email.

⚠️Important: Users must be members in Access Evo.

Set up your employees

Access Care Rostering supports employee usernames as an alternative to email-based logins. When setting up your employees, you can have username logins, email logins, or a mixture of both.

When you’re using the username-based login feature, you’ll need to ensure that your Access Evo organisation is enabled to allow username users.

When using both email and username-based logins, Access Care Rostering tries to use the email first, and only uses the username option when the email option isn’t available.


Email username

⚠️Important: To prevent the creation of duplicate users, existing users in Evo must have the same email address associated with their employee record.

To do this, follow these steps:

  1. Click Settings, then click Other.

  2. Click Integration, then click Integration Settings.

  3. Select the Access Workspace tab.

  4. Check the Create an Employee as Access Workspace Email Users checkbox.

  5. Click Save.

This will enable all existing and newly created employee records within Access Care Rostering to be integrated with Access Evo, making the employee login details available.

📌Note: Provided that the Care Employee Mobile module and function are enabled within Access Care Rostering, the created Access Evo user will automatically be assigned a User role for the Care Employee Mobile app. An Access Evo administrator can change this.


Username user

Usernames automatically generate based on an employee's first and last names, for example, John.Smith. If the username already exists, a numerical suffix is added, for example, John.Smith1, John.Smith2

To set up a username user, follow these steps:

  1. Click Settings, then click Other.

  2. Click Integration, then click Integration Settings.

  3. Select the Access Workspace tab.

  4. Check the Create an Employee as Access Workspace Username Users.

  5. Click Save.

This will enable all existing and newly created employee records within Access Care Rostering to be integrated with Access Evo, making the employee login details available.

📌Note: Provided that the Care Employee Mobile module and function are enabled within Access Care Rostering, the created Access Evo user will automatically be assigned a User role for the Care Employee Mobile app. An Access Evo administrator can change this.

Username users' next steps

You need to set a temporary password for your users to access Access Evo. To do this, follow these simple steps in Access Evo:

  1. Click the members icon.

  2. Select the relevant user.

  3. Click the three dots.

  4. Click temporary password.
