To create a new user, you need to invite them to Access Evo. If the member has already been invited and can log into Access Evo, move directly to activating Access Care Rostering. The following steps can guide you through this process.
Create a new user
The new user needs to be added to Access Evo, where they'll be sent an email to join. Your Access Evo administrator must carry out this process.
Log into Access Evo.
In the top right corner, click the members icon.
On the right, click Add, then choose one of the following options:
Add members individually.
Add members in bulk.
Click Add.
The new member receives a signup email, and they can then set their new password and log in.
Activate Access Care Rostering
After adding the member to Access Evo, you'll then need to activate them on Access Care Rostering. This is done through Access Evo and needs to be done by your administrator.
In the top right, click the Members icon.
Then search for the relevant member.
Click the three dots in the top right of the member's name card.
Click Manage Roles.
For Access Care Rostering, select either User or Administrator from the drop-down.
π€Tip: For the Care Employee Mobile, select Care Employee Mobile, not User or Administrator.
Click Save.
Set the user permissions
β οΈ Important: These final steps need to be completed in Access Care Rostering. They do not need to be completed if you have selected Care Employee Mobile.
You'll then need to change the user permissions in Access Care Rostering. To do this, follow these steps.
Click Settings, then click Other.
Click Profile & Users, then click Users.
Select the relevant user, then click the Profile Details tab.
On the module and function drop-down, remove No Access.
Select the blank option, then click Save.
User still cannot access Access Care Rostering after setup
If you have completed all the steps above and the user still cannot access Access Care Rostering, work through the checks below before raising a support case.
Check the Profile Details in Access Care Rostering
The most common cause is that the module and function profile on the user's record is still set to No Access. Even if the Evo role has been assigned correctly, this setting in Access Care Rostering will block the user from logging in.
Click Settings, then click Other.
Click Profile & Users, then click Users.
Find the affected user and click their record.
Click the Profile Details tab.
Check the module and function drop-down. If it shows No Access, remove it and select the blank option.
Click Save.
Check the Access Workspace integration setting
If the user was created directly in Access Care Rostering rather than via the Evo invite flow, their record may not be linked to an Evo account. Check whether the Create Employee as Access Workspace Users setting is enabled.
Click Settings, then click Other.
Click Integration, then click Integration Settings.
Select the Access Workspace tab.
Confirm that Create Employee as Access Workspace Users is selected.
β οΈ Important: If this checkbox is not selected, the system will not create or link Access Evo accounts for employees. It must remain enabled for the setup process to work.
Raise a support case
If you have worked through both checks above and the user still cannot access Access Care Rostering, raise a case via the Access Digital Assistant and include the following information:
The user's name and email address.
The Evo role assigned to them and when it was assigned.
Confirmation of what you can see in their Profile Details tab in Access Care Rostering.
Any error message the user sees when they attempt to log in.
