Is Access Care Rostering replacing Access People Planner?

Yes, Access Care Rostering is the evolution of Access People Planner (you could see it as Access People Planner v2). We are continuing to enhance Access Care Rostering and we are actively seeking customer feedback in this process.

To support a smooth upgrade, you will have access to both Access Care Rostering and Access People Planner for a period of time. Rest assured, we will provide ample notice before turning off Access People Planner. Our priority is to ensure you feel fully supported and confident using Access Care Rostering.

How long will we have access to Access People Planner Timeline within Access Care Rostering?

To aid your upgrade, we have created this feature to help you easily navigate between the Timelines in Access Care Rostering and Access People Planner for a period of time. Rest assured, we will review and provide ample notice before turning off Access People Planner Timeline within Access Care Rostering.

Is my Access People Planner data being migrated to Access Care Rostering?

No, this is not a data migration. Access Care Rostering is built on the same engine as Access People Planner, ensuring it retains the breadth and depth of functionality you're familiar with. Both Access Care Rostering and Access People Planner utilise the same dataset.

This means any changes made in Access Care Rostering will instantly reflect in Access People Planner, and vice versa.

Will this impact any configuration in Access Data Engine, Access Analytics, or any bespoke Reports or Exports, or Custom Plug-ins, or Custom Payroll or Invoice Logic?

No, the upgrade will not impact any of your data connections or SQL views in Access Data Engine or Analytics. Additionally, all bespoke reports will remain unaffected.

Will this impact any Interfaces to other Access Products e.g. Access Care Planning, Access Care Compliance, Access Learning, Access EarlyPay etc.

No, the existing Interfaces are not impacted.

Will this impact any Access People Planner API Interfaces that we’re using in our business?

No, the existing Access People Planner API is still available.

Where can I find the Decline List?

We have simplified how to access the "Decline List".  Select the required record, and you will see the "Decline List" as a menu option visible within the Service User / Employees record.  Follow this handy guide for more information on decline lists.


Questions related to the Finance Module

Will Access Care Rostering pull through the previous mileage from Access People Planner?

Yes, Access Care Rostering is built on the same engine as Access People Planner, ensuring it retains the breadth and depth of functionality you're familiar with. Both Access Care Rostering and Access People Planner utilise the same dataset.

This means any changes made in Access Care Rostering will instantly reflect in Access People Planner, and vice versa.

When accessing payroll or invoicing, I am unable to view my previous and completed payroll/invoices run?

We have introduced a new feature in Access Care Rostering, called Show Actionable, within the Finance management screens to help you manage any outstanding actions required within your payroll and/or Invoice Runs. This feature is enabled by default. To show all Invoice and / or Payroll Runs your would need to untick Show Actionable. Follow this handy guide for more information payroll and invoice data.


Questions relating to navigation in Access Care Rostering

Access People Planner has a feature to launch an additional window, where can I find this feature in Access Care Rostering?

Access Care Rostering is Access Workspace native, which has a standard approach to launching new windows. Access Workspace calls this “Duplicate” this feature is available via the three dots on the Access Care Rostering Workspace Tab.

How can I quickly access Timeline?

We have introduced a new feature that allows you to access the timeline form anywhere in Access Care Rostering (as long as you have permissions to access Timeline). The new Care Rostering Timeline option is available as a static button in the top right corner. Click this to open the Care Rostering Timeline from anywhere in Access Care Rostering. When you click “Close Care Rostering Timeline” it will close Timeline and bring you back to your previous screen.

Why can I no longer use the right-click feature found in Access People Planner Timeline in Access Care Rostering to re-allocate or cancel a call etc? 

One of the biggest changes we have made in Access Care Rostering is the introduction of the right-hand panel to support touch devices. All the previous right-click actions can be achieved via the interactive right-hand panel, whilst at same time surfacing key information.

How do I cancel a Visit?

This is now done via the right-hand panel. Select the Visit and choose the action required from the interactive right-hand panel.

What does the ! symbol mean?

This means that the Employee working the Visit does not match the Templated Employee. Select the Visit to see the details in the right-hand panel. You can update the Templated Employee in the right-hand panel too.

What does the T symbol mean?

We have made it easier to identify visits that are not Templated. The T symbol means that the visit is not Templated. To Template, select the Visit, and from the right-hand panel, select Create/Update Template.

How do you Template a Visit?

To Template, select the Visit, and from the right-hand panel select Create/Update Template.

What do the Visit colours mean?

Blue indicates that a Visit has been Booked On and/or Off.

Green is to show that the Visit is Allocated. There are various symbols that may appear to indicate information or an action required (e.g ! / T ). This will be surfaced in the right-hand panel too.
