Finance, settings and reports

This article explains improvements we have made to the finance, settings and reports screens.

Here is a quick demo video of the new features we have added to the finance settings and reports in Access Care Rostering.


Reconciliation screens

We have made several improvements to our reconciliation screen to help you navigate the system more efficiently, providing quicker access to client and employee records.

To navigate to the reconciliation screen, follow these simple steps.

  1. Click Finance.

  2. Click Visits.

  3. Click Reconciliation.

The screen is very similar to what you were accustomed to in Access People Planner; however, we have made a few improvements.

You can now sort the data by clicking the column headings, allowing you to see the information you need more quickly. If you require the shortest actual duration time, simply click the actual duration column heading.

The icons under the Manual, Adhoc and Reconciled column headings have been improved so that they are easier to understand and can be seen at a glance.

You can also now click the employee's name, which takes you directly to their employee details page, making it easier to access.

Selecting the reconciled checkbox now highlights the row, allowing you to see which rows are selected when reconciling or unreconciling visits. We have also updated the green button to make it clearer, so you can choose either reconcile or unreconciled.

Reconciliation details screen

We have also made very similar updates to the reconciliation details screen.

To view the reconciliation details screen, follow these steps.

  1. Click Finance, then click Visits.

  2. Click Reconciliation, then select the relevant employee.

You can now also click the service users' and service funders' names, which takes you directly to their details page, making it easier to access. You'll also see an Add new Visit button that allows you to add an ad hoc visit directly from the reconciliation details screen, so you don't need to leave the page.

Selecting the reconciled checkbox now highlights the row, enabling you to see which rows are selected when reconciling or unreconciling visits. We have also updated the green button to make it clearer, allowing you to choose either Reconcile, Unreconcile or More actions.

The visit details remain the same, you'll see all the usual tabs across the top and you can click the More tab to see what was known as the QuickLinks menu in Access People Planner.


Invoice and payroll management

To view the invoice management screen follow these steps.

  1. Click Finance.

  2. Click Invoice.

  3. Click Management.

We have made some amendments to our invoice management screen, allowing you to view all invoices and their current status.

If you select an invoice, the data is the same, but the export button has been updated and now reads Export Data. You can also now search for an invoice using the search invoice option in the top right.


Settings

The settings module is exactly the same as what you are used to in Access People Planner, even using the Access People Planner screens.


Reports

To view reports follow these simple steps.

  1. Click Reports.

  2. Select the relevant report from the options.

  3. Click the export icon to export the report.

Reports are the same as those in Access People Planner; the only difference is that you now need to run the report from the report module. Previously, individual modules contained their own reports, but now all reports are consolidated in one place, making them easier to find.
