Create, remove and change cancellation types

In this article, we explain how to create, remove and change cancellation types.

Cancellation types help manage visits that are cancelled, whether it is in advance or at the door. They ensure carers are paid fairly and clarify if service users still need to pay, based on when the cancellation happens.

Create cancellation types

  1. Click Settings, then click Finance.

  2. Click Cancellation, then Types.

  3. Click the plus icon.

  4. Enter the relevant details.

  5. Finally, click Save.

Field Name

Description

Description

A short description of the cancellation type.

Type

This can be set to either Flat Fee or Percentage. Flat fee is a set value for the cancellation type, whereas a percentage would be a percentage of the original invoice/pay amount.

Pay

This is where you define the flat fee or percentage at which the cancellation will be paid.

Flat Fee Invoice

This is where you define the flat fee or percentage at which the cancellation will be invoiced.

Hide in Invoice Generation if Zero

If this is ticked, when the invoice value of the visit is equal to zero, it will not appear on the generated invoice.

Hide in Payroll Generation if Zero

If this is ticked, when the pay value of the visit is equal to zero, it will not appear on the generated payroll.

Include Travel Calculation

If this is ticked, the system will still calculate travel to and from the visit as per the travel rate sheet.


Remove a cancellation type

To remove old cancellation types that are still appearing on the planning screen, see the steps below:

  1. Click Settings, then click Other.

  2. Click Company, then click Branches on the right side.

  3. Select the branch you wish to amend the cancellation type for by clicking the arrow.

  4. Tick the ones you only wish to see.

  5. Click Save.

๐Ÿ“ŒNote: The Cancellation types that haven't been ticked won't appear for anyone under that Branch.


Change the cancellation type on a visit

To be able to change the visit's cancellation type to another option already in the system. Please follow the below;

  1. Click Finance, then click Visit.

  2. Click Reconciliation.

  3. Find the relevant employee.

  4. Select the visit.

  5. Scroll down to service types & rates.

  6. Select a Cancellation Type from the dropdown.

  7. Click Save.

โš ๏ธImportant: You'll need to re-run payroll and invoicing for the changes to be made.
