Travel isn't being calculated in payroll

Advice and guidance when your payroll isn't calculating travel.

If Google Maps is being utilised for travel calculations and the values are not reflected in the payroll, check the following things.

Payroll run

First, verify that the travel calculation method is set correctly.

  1. Click Settings, then click Finance.

  2. Click Payroll, then click Runs.

  3. Next to the run you’re expecting travel for, click the arrow button.

  4. Ensure that the Travel calculation type is set to Google Maps.

  5. Click save.

Next, examine the travel rate sheet.

  1. Click Settings, then click Finance.

  2. Click Travel, then click Pay Rate Sheets.

  3. Next to the required rate sheet, click the arrow button.

  4. Click the Revisions tab and ensure all sections are complete.

After confirming the correct setup of the travel rate sheet, check the employee's rate sheet.

  1. Click HR, then click Employee.

  2. Click Find then next to the required employee, click the arrow button.

  3. Click Travel Details.

  4. Verify that the employee has a travel pay rate sheet record.


Service types

Next, check your service types.

  1. Click Settings then click Service Users.

  2. Click Service User then click Service.

  3. Click Types then next to the service you need, click the arrow button.

  4. Ensure the Exclude from Travel Calculation box is blank. If there’s a selection, simply clear this.

  5. Click save.


Transport mode

The employee’s transport mode can also be checked to ensure it isn’t set to ignore travel calculations.

  1. Click Settings, then click HR.

  2. Click Employee, then click Transport.

  3. Click Transport Modes then next to the employee’s transport mode, click the arrow button.

  4. Ensure the Ignore Travel Calculations checkbox is blank. If this isn’t, simply clear this.

  5. Click save.


Employee or service user address

Postcodes on Google Maps for both the employee and service user can be checked. When travel is calculated using Google Maps, it uses the postcode from each location. If the postcode doesn’t exist or is incorrect, nothing will be calculated.

This can be tested by entering just the postcode for your employee or service user in Google Maps. If no result is obtained, it’s likely that an incorrect postcode has been used. If it’s a newer location, a request can be made for Google to add it.
