Introducing the new Timeline slider, custom colour options, and the confirmation tasks feature!

We are excited to introduce the latest release, featuring the new Timeline slider for extending the employee and service location timelines. Customise your duty with custom colour options for service types and duty statuses, and manage unconfirmed duties with the confirmation tasks feature. The improved contrast for continuity and availability bars enhances visibility, while the Timeline Dashboard provides insightful duty data. Additionally, this release brings a read-only timeline option, extend visit functionality, bulk ad hoc duties creation, and display of images in the timeline. Access Monitoring EMS Reports directly from the left-hand menu.

Timeline slider

The Slider in the centre of the Timeline can be moved up or down to display more Employee or Service Location data.


Custom colours in timeline

Apply custom colours for service types and duty statuses within the timeline. Custom colours include: allocated, warning, unallocated, and unconfirmed. Use the 'Apply to ACR' setting in service type configuration to enable this feature.

To set custom colours for service types:

  1. Click Settings then Service Location.

  2. Service Location then Service.

  3. Click Types then select the record.

  4. Click the Custom colour tab.


Timeline confirmation

Add a confirmation workflow or set of tasks to service types that require additional user actions (e.g., employee COVID checks, briefing employees before confirming allocation) during duty allocation. Unconfirmed duties will display a '?' icon and can be filtered to show only those duties.

Enable the Service Duty Confirmed/Unconfirmed feature in Modules & Functions to show the Unconfirmed option in the Status dropdown and context panel.

Default colours

  • Unconfirmed allocated duties will appear in red.

  • Confirmed allocated duties will appear in green or yellow (if there's a planning warning).

Custom colours

  • Unconfirmed allocated duties will use the custom unconfirmed colours.

  • Confirmed allocated duties will use the custom warning or passed colours.

Changes to the confirmed/unconfirmed status will automatically update the duty colours on the timeline and in the duty context panel.

Filter the timeline to display only unconfirmed duties by selecting 'Unconfirmed' in the Status dropdown.

Visual prompts

  • Duties with an unconfirmed status will display an unconfirmed duty icon, making it easier to identify them among other duties.

  • The unconfirmed duty icon will take priority over other icons.

Confirmation tasks

  • Enable the Service Duty Confirmation Tasks feature in Module and Function settings to add a Confirmation Tasks dropdown to the Service Location toolbar. Filter duties based on the current confirmation task associated with them.

  • Confirmation tasks are created under Settings / Service Location / Service Location / Service / Confirmation Tasks Profile.

  • Confirmation tasks are assigned to a Service type under Settings / Service Location / Service Location / Service / Type / Confirmation Tasks Profile.

Confirm or unconfirm duties

  • Without confirmation tasks: Timeline / Duty / select duty / full duty details / Confirmed tab / check confirmed / save.

  • With confirmation tasks: Timeline / Duty / select duty / full duty details / Confirmed tab / complete mandatory tasks or check confirmed checkbox / save.


Improved timeline contrast

Enhanced contrast for continuity, availability, and service suspend indicators to make them more visible and easier to understand.


Timeline dashboard

Go to the Timeline tab in the left-hand menu to view bar charts and useful filters related to duties. This allows you to easily visualize and manage unallocated duties and upcoming visits.


Read-only timeline

Set the Updatable Timeline permission in Module and Function setting or User Permission settings to make the timeline screen read-only, restricting changes such as allocating employees or cancelling visits.

This feature applies when the Updatable Timeline setting is disabled in Modules & Functions (both system settings and Profiles & Users). The following fields, links, and buttons will be read-only or disabled:

  • Info

  • Generate Visits/Rotas

  • Create New Duty

  • Duty

  • Employee search box

  • Unallocate/Allocate

  • Check results link

  • Copy/Cancel

  • Employee Details

  • Advanced (edit 04/11: added to AC)

  • Bulk Duty Update

How it works

System level

If disabled at the system level, the above controls will be read-only/disabled for all users.

Profiles & Users level

If disabled at the Profiles & Users level, the above controls will be read-only/disabled only for those specific users.

If the Updatable Timeline setting is enabled, users will be able to use these controls as normal.


Extend visit in timeline

To adjust the duration of a duty, click to disable Locked duties and drag the edges of the selected duty. You can also toggle lock duties on or off to move the duty out of its time slot.

Locked duties

The duty can only be moved up or down within its time slot, and the duration can be adjusted by dragging the edges.

Unlocked duties

The duty can be dragged out of its time slot (subject to planning rules), and the edges can be dragged to expand or reduce the duration.


Bulk ad hoc duties creation

Create multiple ad hoc duties at once. In the Weekly view for a service location, click Create New Duty to add multiple ad hoc duties:

Multiple Standard

Allows the creation of multiple ad hoc duties that all share the same start and end time.

Multiple Variable

Allows the creation of ad hoc duties that can vary in their date, time, duration, etc.


Images in timeline

Employee and Service Location images are now displayed in the Timeline where available.


Reports

  • Monitoring Reports: Access Monitoring Reports and Duty/EMS reports via the left-hand menu under Reports.


Release timeline

  • Demo and UAT sites: Thursday 5 December 2024

  • Live sites: Week commencing Monday 9 December 2024
