Overview

We are excited to introduce Access Care Rostering v2.7, bringing a number of highly desirable features, resolution of known issues and significant quality improvements to support your everyday use of Care Rostering.

New Features:

  • Integration with Access People XD

  • Enhanced Invoice Integration with Access Care Planning

  • Break Rules Management

  • Updated Branding to Access PayWise+

Integration with Access People XD

The People XD integration lets you bring employee records from your People XD system directly into Access Care Rostering, saving you from having to enter staff details twice.

Important: You can only connect one HR system at a time - either Access People, Access Recruit, or Access People XD. Once you've chosen one, you'll need to stick with it.

Main Features

Importing staff records You can search for employees in People XD and select which ones you want to bring into your rostering system. Their details will be automatically added to your care rostering database.

What information gets transferred

When you import someone, the system brings across their:

  • Personal details (name, date of birth, address)

  • Contact information

  • Bank details

  • Job information (employment type, job role, branch)

  • Payroll details

Keeping information consistent

Once you've imported an employee from People XD, certain details in their record become locked in the rostering system. This prevents accidental changes and keeps your rostering data in sync with your main HR system. Fields like names, dates of birth, job roles, and contact details can only be updated in People XD itself.

Preventing duplicates

The system won't let you import the same employee twice, so you don't end up with duplicate records.

Setting it up

To use this integration, you'll need to enable it in your integration settings and provide your Access Organisation ID. Once it's turned on, it stays on - you can't switch it off again.

Enhanced Invoice Integration with Access Care Planning

Managing invoices across care planning systems just got easier. You can now include Access Care Planning Case IDs directly on your invoice PDFs, making it simpler to track and reconcile billing across integrated systems.

What's new:

  • Invoice format settings now include an option to display Access Care Planning Case IDs when you have an active ACP integration

  • Service Location records show the linked ACP Case ID in the Other section, making it easy to verify connections

  • New search option to find Service Locations by ACP Case ID

Benefits:

Care coordinators and billing administrators can quickly identify which care planning cases relate to specific invoices, reducing manual lookup time and improving billing accuracy across integrated care management systems.

Break Rules Management

The Break Rules feature helps you automatically manage staff breaks in line with legal requirements and your organisation's policies. Breaks can be configured through the Settings menu by service type, branch/area or by employee.

Once you set up a break rule, the system will work out what breaks your care workers are entitled to based on how long their shift is, the Duty’s service type or the employee’s Break Rules Profile. This means breaks are added to shifts automatically, saving you time and helping ensure everyone gets the breaks they're entitled to.

This makes it easier to stay compliant with employment regulations while reducing the manual work involved in managing breaks across your rotas.

Updated Branding from Access EarlyPay to Access PayWise+

All references to Access EarlyPay throughout the system have been updated to reflect our new Access PayWise+ branding.
